Duties:
This position provides administrative support and legal secretarial support for the Office of the State Public Defender. This position will be responsible for provid ing legal secretarial support and will provide back up to other support staff in the office. Manage calendars and arrange appointments. Completes forms and prepare legal correspondence and papers such as legal pleadings, summonses, complaint! s, motions, responses, pre-trial agreements, transcribe dictation under the supervision of an attorney. Mail, fax, track, or arrange delivery of legal correspondence to clients, witnesses, and court officials; make copies of correspondence, documents and other printed materials. Organize and maintain documents and establish and maintain case files. Receive and place telephone calls, including researching information requests, copy or scan discovery information, and others requests. Make arrangements for hearings, conference calls, and other appointments.Communicate with clients, employees, and other individuals to answer questions, provide information. Coordinate office functions with other agencies.
Competencies:
Seeking an applicant who has a desire and willingness to work in a high paced work environment and learn various aspects of providing administrative support to attorneys responsible for providing criminal defense to indigent clients. Must be de! tail orientated; accurate and timely in producing work products; work o! n a variety of work assignments simultaneously with interruptions; act with initiative, good judgment, and tact, often in stressful situations; be sensitive to the needs of our clients who are indigent and may face barriers such as mental illness, drug/ alcohol and economic issues; work effectively with detail and recall; comprehend and understand legal documents; be dependable and flexible; work in a team environment. Must have knowledge of the functions, procedures and organization of an office; Business English and filing systems; Spelling, punctuation and writing skills; to communicate effectively orally and in writing; operate word processing equipment; establish and maintain effective working relationships with our clients, judges, attorneys, fellow employees, agencies and the public. Must have the ability to learn, comprehend and understand legal documents; court and law enforcement system; Criminal laws and procedures of the State of Montana; understand different as! pects of the criminal justice system, including law enforcement and jail procedures; and legal terminology.
Education/Experience:
The above competencies are typically acquired through graduation from High school and two to three years of progressively responsible secretarial experience in an office setting. Experience working in a law office or with the court system desirable but not required.
