Duties:
Description of Duties: This position provides high-level administrative support for the Regional Deputy Public Defender and provides day to day responsibilities of ensuring that the office runs smoothly and that all regional court requirements and needs of attorneys! are met. Handles information requests received from clients, courts and office staff. Prepares and processes agency specific legal documents, correspondence, and other required documents in criminal cases and other public defender cases; prepares invoices, reports, memos, letters, other documents using word processing, spreadsheet, database, and/or presentation software; reviews indigent questionnaires and makes determination whether the applicant meets the eligibility requirements and corresponds with the clients; inputs and maintains data in Case Management System; maintains filing system and records; arranges meetings with clients. Receives and screens telephone calls; receives and resolves or refers complaints from clients; coordinates office functions with other support personnel and other Public Defender Offices; mails, faxes, or arranges for delivery of legal correspondence to clients, witnesses, and court officials; reads and analyzes incoming correspondence, faxes! , e-mail, memos, submissions, and reports in order to determine their s! ignificance and plan their distribution; manages attorney calendars to ensure that deadlines are not missed by keeping a record of the deadlines imposed on staff and contract attorneys. Attends legal meetings, such as client interviews, hearings, or depositions, and takes notes. Assist attorneys in collecting information such as employment, medical and reports. Process appeals and forwards to the Appellate Defender Office; transcribes interviews for Region Cases; coordinates major crime cases with the Major Crimes Office; coordinates central office activities regarding financial information and case weighting; coordinates the use of the state vehicles and the office fleet manager; and coordinates conflict cases with the Conflict Coordinator.

Competencies: Seeking an applicant, who has a desire and willingness to work in a high paced work environment to provide legal support to attorneys who are responsible for providing criminal defense to indigent clients. ! Must have knowledge of the functions, procedures and organization of a law office; functions of word processing equipment and software; court and law enforcement system; criminal laws and procedures of the State of Montana; business English, spelling, punctuation and writing skills; records management and filing systems; understanding of different aspects of the criminal justice system, including law enforcement and jail procedures; legal terminology; administrative practices, and office management. Must have the ability to communicate effectively orally and in writing; operate word processing equipment; establish and maintain effective working relationships with judges, attorneys, fellow employees, agencies and the public specifically our clients. Must be detail orientated; accurate and timely in producing work products; work on a variety of work assignments simultaneously with interruptions; act with initiative, good judgment, and tact, often in stressful situations; be s! ensitive to the needs of our clients who are indigent and may face barr! iers such as mental illness, drug/ alcohol and economic issues; work effectively with detail and recall; comprehend and understand legal documents; be dependable and flexible; and work in a team environment. Must have the ability to draft and prepare appropriate legal documents including Petitions, Stipulations, Orders, Motions, Praecipes, Subpoenas, and Jury Instructions

Education/Experience:
The above competencies are typically acquired through graduation from High school and two years post-secondary education including legal secretarial courses and a minimum of 3 years of administrative support experience which has provided knowledge of criminal matters including different aspects of the criminal justice system, law enforcement, jail procedures, and legal terminology.
