Duties:
Provide a wide variety of administrative support to Central Services by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Coordinates activities associated with client complaints to ensure that these issues are responded to in a timely manner; assists in the preparation of bi-weekly payroll by explaining personnel policies, benefits, and procedures to employees and managers; p rovide information to employees and managers on payroll matters, tax issues, benefit plans, and collective agreement provisions ; r eview time sheets and other information in order to detect and reconcile payroll discrepancies; c ompute, classify, and record numerical data to keep financial records complete. Perform any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounting records ; responsible for the OPD statewide leased and owned vehicle fleet, prepares reports, collects information from OPD Offices regarding vehicle, liaison with Motor Pool and Risk Management.
Competencies:
The successful candidate must have a desire and willingness to work in a high paced work environment providing support to employees of the Central Office and the Office of the State Public Defender. Must be detail orientated; accurate and timely in producing work products; work on a variety of work assignments simultaneously with interruptions; act with initiative, good judgment, and tact, often in stressful situations; be sensitive to the needs of our clients who are indigent and may have mental illness, drug/ alcohol and/or economic issues; maintain confidentiality; work effectively with detail and recall; be dependable and flexible; and work in a team environment. Must have the ability to communicate effectively orally and in writing and maintain effective working relationships with our clients, judges, attorneys, fellow employees, agencies and the public.
Education/Experience:
The above knowledge, skills, and abilities are typically acquired through a high school diploma with some accounting coursework and three years of progressively responsible experience in accounting/human resource and administrative support.
