Special Information:
This position is represented by the American Federation of State, County and Municipal Employees (AFSME) Bargaining Unit. Employees covered by the terms of the Bargaining Unit Agreement shall not be required to become members of the Union but must, as a term and condition of employment, pay a representation fee to the Union . Occasional travel required.

Duties:
This position performs reception and administrative duties in the Public Defender’s Office and provides day to day responsibilities of ensuring that the office runs smoothly. Receives and screens telephone calls from clients; coordinates office functions with other support personnel and other Public Defender Offices; mails, faxes, or arranges for delivery of legal correspondence to clients, witnesses, and court officials; read incoming correspondence, faxes, e-mail, memos, submissions, and reports in order to determine their significance and plan their distribution. Handles information requests received from clients, courts and office staff. Inputs data into Case Management System concerning all clients, case information; maintains filing system and records for criminal, dependent neglect, mental, and juvenile cases; retrieves legal documents, records, and reports. Manages appointments, callers, and visitors to maximize time; arranges meetings with clients; greets visitors and determine whether they should be given access to specific individuals.

Competencies:
Seeking an applicant who has a desire and willingness to work in a high paced work environment and learn various aspects of providing administrative support to attorneys responsible for providing criminal defense to indigent clients. Must be detail orientated; accurate and timely in producing work products; work on a variety of work assignments simultaneously with interruptions; act with initiative, good judgment, and tact, often in stressful situations; be sensitive to the needs of our clients who are indigent and may face barriers such as mental illness, drug/alcohol and economic issues; work effectively with detail and recall; comprehend and understand legal documents; be dependable and flexible; work in a team environment. Must have knowledge of the functions, procedures and organization of an office; business English and filing systems; spelling, punctuation and writing skills; the ability to communicate effectively orally and in writing, operate word processing equipment and establish and maintain effective working relationships with our clients, judges, attorneys, fellow employees, other agencies and the public. Must have the ability to learn, comprehend and understand legal documents; court and law enforcement system; Criminal laws and procedures of the State of Montana; understand different aspects of the criminal justice system, including law enforcement and jail procedures; and legal terminology.

Education/Experience:
The above competencies are typically acquired through graduation from High school and two to three years of progressively responsible administrative support and reception experience in an office setting. Experience working in a law office or with the court system desirable but not required.
