Duties:
This position performs legal secretary, and other administrative duties in the Appellate Defenders Office. Prepares and drafts legal pleadings, motions and orders, appellate briefs, correspondence and documents in appellate defender cases. Provides secretarial support for attorneys, legal interns and other professional staff; operates word processor; maintains filing system and records for criminal, dependent neglect, mental, and juvenile cases; manages appointments, callers, and visitors to maximize time; receives and screens office visitors and telephone calls; coordinates office functions with other agencies; mail, fax, or arrange for delivery of legal correspondence to clients and court officials; make photocopies of correspondence, document, and other printed matters including binding of legal briefs; organize and maintain document and case files; and performs other related duties as assigned.
Competencies:
Seeking an applicant who has a desire and willingness to work in a high paced work environment and learn various aspects of providing administrative support to attorneys responsible for providing criminal appellate defense to indigent clients. Must be detail orientated; accurate and timely in producing work products; work on a variety of work assignments simultaneously with interruptions; act with initiative, good judgment, and tact, often in stressful situations; be sensitive to the needs of our clients who are indigent and may face barriers such as mental illness, drug/ alcohol and economic issues; work effectively with detail and recall; comprehend and understand legal documents; be dependable and flexible; work in a team environment. Must have knowledge of the functions, procedures and organization of an office; Business English and filing systems; Spelling, punctuation and writing skills; to communicate effectively orally and in writing; operate word processing equipment; establish and maintain effective working relationships with our clients, judges, attorneys, fellow employees, agencies and the public. Must have the ability to learn, comprehend and understand legal documents; court and law enforcement system; Criminal laws and procedures of the State of Montana; understand different aspects of the criminal justice system, including law enforcement and jail procedures; and legal terminology.
Education/Experience:
The above competencies are typically acquired through graduation from High school and two to three years of progressively responsible secretarial experience in an office setting. Experience working in a law office or with the court system desirable but not required.
