as Executive Assistant to General Counsel and provide administrative and
paralegal support to the Corporate Attorneys. The job will require
coordinating numerous administrative t! asks such as meetings, travel, and
calendars; assisting with organizing and preparing documents; some legal
research; and working closely with and functioning as an effective team member
with the Legal Department, other executive assistants, internal clients, and
outside counsel.
DESCRIPTION
OF ESSENTIAL FUNCTIONS
·
Assist
attorneys with daily activities for the Legal Department and coordinate and
attend department meetings
·
Screen
incoming correspondence and phone calls, and refer matters requiring immediate
attention to the appropriate personnel in the Legal Department, including
continual review of General Counselâs email correspondence
·
Assist
in preparing the Legal Departmentâs materials for Board of Directors meetings
·
Assist
in managing the Legal Department document retention/filing system
·
Coordinate
and make travel arrangements ! for members of the Legal Department
·
Update
and maintain appointment calendars for Legal Department attorneys (currently 6)
·
Manage
Serengeti Tracker e-billing system, including setting up new legal matters;
reviewing outside counsel invoices to ensure their compliance with NorthWestern
Energyâs Outside Counsel Billing Guidelines; monitoring outside counsel
budgets, status reports, matter participants, and billing rates; processing
administrative invoices; and generating reports

Provide
support to billing personnel from law firms in troubleshooting problems with
Serengeti Tracker
·
Prepare
engagement letters
·
Maintain
and update budget and expense documents
·
Work
effectively in coordinating Legal Department reviews and functions with other
NorthWestern departments
·
Provide
regulatory and litigation support by developing and maintaining files,
developing and maintaining regul! atory and litigation calendars, coordinating
document production for litigation matters, and assisting with preparing
agreements, pleadings, and other legal documents
·
Assist
with legal research and presentations
·
Perform
special assignments and other duties as requested by the General Counsel or
Corporate Attorneys
·
Work
in a team environment, providing administrative support for areas outside of
Legal as needed
·
Adhere
to NorthWestern Energyâs safety standards
·
Ensure
all actions are consistent with NorthWestern Energyâs mission, values, and Code
of Conduct and Ethics
·
Maintain
the confidentiality of sensitive information
·
Some
travel and extended hours required
·
Much
of the time will be spent working in an office environment working on a
personal computer. Position will require lifting up to 35! pounds occasionally

GENERAL
QUALIFICATIONS
·
Must be able to demonstrate a good
safety record
·
Seven yearsâ experience in a legal
department of a corporation or in a law firm preferred
·
Bachelorâs degree in paralegal
studies, associate degree in paralegal studies, or bachelorâs degree in any
major with paralegal certificate preferred
·
Strong basic accounting and
budgeting skills
·
Must maintain a high degree of
confidentiality
·
Excellent oral and written skills
required
·
Must be a self-motivator with
excellent organizational skills
·
Must excel at being a team player
·
Must be very detail-oriented and
maintain a high degree of accuracy
·
Strong word processing and
spreadsheet skills
·
Proficient in the use of Microsoft
Office, including Outlook, Word, PowerPoint, and Excel
·
Knowledge of Serengeti Tracker,
SharePoint, and SAP desired
·
Ability to manage multiple projects
and balance the needs of multiple attorneys
·
Must be willing to work under
occasionally rigorous deadlines
