Special Information:
The Secretary is expected to work considerable overtime hours during the legislative session and some overtime hours during the interim. This positon works in a noisy environement with mutiple distractions.

Duties:
  • Provides secretarial duties for several committees and staff; prepares the agenda and meeting materials for distribution; develops and maintains electronic lists; prepares and posts documents to and assists in maintaining the interim committee websites; mails information to committee members and interested persons; prepares the meeting room; records and prepares minutes in summary or audio-stream formats; assists research analysts with preparing committee reports, including final reports; maintains committee files and materia! ls in the proper order; prepares committee files for archiving at the end of each interim; and creates new files as necessary.
  • Processes document requests and prepares all related materials for filing and distribution.
  • Performs various bill-related duties during session which may include data input, bill filing and tracking, assisting with bill coordination and distribution.
  • Enters text and numerical data on a personal computer using various computer software programs according to standard practice and Montana Legislative Services Division procedures.
  • Assists in a variety of clerical work, including filing, routing, preparing mailings and shipments, correspondence, copying, and proofreading.
  • Performs Receptionist duties as back-up, including answering multiline phone, for as much as 50% of the time; greeting legislators, the media, lobbyists, and the public; processing mail; directing customers to appropriate staff or agency; and! providing accurate information.
  • Mentors and trains new secret! arial staff in supporting LSD research analysts, attorneys, and managers in non-session-related activities.
Competencies:
Basic knowledge of the legislative process. Basic knowledge of standard English, including grammar, spelling, composition, word usage, and punctuation. Basic knowledge of website development software. Basic knowledge of standard office procedures and telephone etiquette. Basic knowledge of the preparation and use of formal documents. Ability to acquire basic knowledge of complex or technical topics or issues studied by interim committees in order to compose and prepare meaningful and accurate meeting minutes. Ability to: act with initiative; be highly productive and detail oriented; independently organize and prioritize work; respond quickly and efficiently to tasks; complete assignments independently, accurately, and in a timely manner; and meet deadlines under stressful conditions. Ability to learn and use various word processing ! software programs, network systems, and standard office equipment, including but not limited to personal computer, laptop computer, facsimile machine, copying machine, audio recording equipment, teleconferencing equipment, multi-line telephone, printers, and scanners. Ability to present information clearly and concisely, both orally and in writing. Ability to maintain confidentiality and handle politically sensitive work. Ability to act professionally, objectively, and impartially in dealing with legislators and the public. Ability to communicate effectively with co-workers, legislators, other agencies, and the public. Ability to establish and maintain effective working relationships with co-workers. Ability to be flexible and adapt to change, including the willingness to travel and work considerable overtime.

Education/Experience:
High school or GED certificate and 3 years relevant administrative support, secretary, or office experience
