Duties:
Description of Duties: Position provides legal administrative assistance to Regional Deputy Public Defender and supervising operations over a four county region. Duties include but are not limited to schedule appointments and court appearances; prepare, draft and deliver court documents; correspo! nd with clients via telephone and written letter; open and close case files; solicit contract attorneys; assistant attorneys with memorandum of understanding process; delegate work load throughout contractor pool; obtain documents from various clerks and county attorneys; interact with judges, prosecutors and clerks to obtain documentation; resolve problems regarding deadline issues and assist with general concerns; prepare, file and deliver daily and weekly billing for attorneys and office costs; process contractor billing and vendor payment requests; act as a liaison between Central Office and Contractors/Vendors to ensure payment and procedures are followed; assign conflict cases and prepare file and deliver related documents; prepare substitution of counsel for attorneys who have filled the Appellate Referral forms; open cases in case management system; prepare Notices and letters to assigned attorneys; draft, prepare and file court documents for dependent neglect, guar! dianships, involuntary commitment cases throughout region; assign overf! low cases when attorneys are at capacity; process files for contract attorneys and solicit help handling municipal and felony cases; convey messages from incarcerated clients to attorneys.
Competencies:
Seeking an applicant, who has a desire and willingness to work in a high paced work environment to provide legal support to attorneys who are responsible for providing criminal defense to indigent clients. Must have knowledge of the functions, procedures and organization of a law office; functions of word processing equipment and software; court and law enforcement system; criminal laws and procedures of the State of Montana; business English, spelling, punctuation and writing skills; records management and filing systems; understanding of different aspects of the criminal justice system, including law enforcement and jail procedures; legal terminology; administrative practices, and office management. Must have the ability to communicate effectively orall! y and in writing; operate word processing equipment; establish and maintain effective working relationships with judges, attorneys, fellow employees, agencies and the public specifically our clients. Must be detail orientated; accurate and timely in producing work products; work on a variety of work assignments simultaneously with interruptions; act with initiative, good judgment, and tact, often in stressful situations; be sensitive to the needs of our clients who are indigent and may face barriers such as mental illness, drug/ alcohol and economic issues; work effectively with detail and recall; comprehend and understand legal documents; be dependable and flexible; and work in a team environment. Must have the ability to draft and prepare appropriate legal documents including Petitions, Stipulations, Orders, Motions, Praecipes, Subpoenas, and Jury Instructions
Education/Experience:
The above competencies are typically acquired through graduation from H! igh school and two years post-secondary education including legal secre! tarial courses and a minimum of 3 years of administrative support experience which has provided knowledge of criminal matters including different aspects of the criminal justice system, law enforcement, jail procedures, and legal terminology.
