Special Information:
The Office of the Appellate Defender (OAD) seeks a qualified and effective Legal Administrative Assistant to join its dedicated team. OAD provides appellate representation to clients with limited financial means in criminal, juvenile, dependent and neglect, and involuntary commitment cases. OADâs representation occurs primarily before the Montana Supreme Court with services continuing in other appellate courts such as the United State Supreme Court. In the spirit of Gideon , we strive to bring to life the dream of a vast diverse country in which every person will be capably defended, no matter what his or her economic circumstances. Therefore, OADâs mission is to provide independent, effective, high-quality representation t! o those we represent. An eleven member Public Defender Commission oversees OAD. The Public Defender Commission appoints the Chief Appellate Defender. Wade Zolynski is the current Chief Appellate Defender. He supervises OADâs team of Assistant Appellate Defenders and Administrative Support Staff. OAD is a statewide office headquartered in Helena with cases originating in every corner of Montana.
Duties:
Acts as the receptionist for the Office of the Appellate Defenders (OADâs) main office telephone line and performs other administrative/secretarial tasks. For instance, creating and maintaining case files, entering and retrieving data using OADâs case management system, running reports and analyzing data to support OADâs administrative reporting requirements, preparing legal documents, filing legal documents with and retrieving legal documents from the Montana Supreme Court Clerkâs Office, scanning legal documents for OADâs internal use, and cr! eating and reviewing calendars. Mails, faxes, or otherwise arranges for! delivery of confidential legal correspondence to clients, their family, and court officials. Coordinates office functions with other state and local government offices. Assists OADâs attorneys and other administrative staff. Performs other duties as assigned by the Chief Appellate Defender. This position reports directly to the Chief Appellate Defender and OADâs Office Manager.
Competencies:
This position requires knowledge of legal administrative procedures and systems such as word processing, data base management, creating and managing files and records, and completing typewritten or handwritten forms. The position also requires communication skills, including written, verbal, and active listening. This includes the ability to communicate in a professional manner with those having diminished decision making capacity due to their present circumstances. Has frequent contact with clients who are in crisis and involved in ongoing legal proceedings. Ma! ny of them are incarcerated. Will encounter situations in which an individual is upset, rude, or potentially abusive. This environment requires the use of good judgment and the ability to assess an unfolding circumstance in order to effectively handle the situation. Those working in the legal profession are bound by ethical standards of practice, and therefore, the Legal Administrative Assistant must be aware of and actively protect confidential information. The position requires the ability to understand legal terms of art, federal and state law, Supreme Court procedure, and internal agency procedures.
Education/Experience:
The above competencies are typically acquired through graduation from high school followed by post-secondary education or vocational training. Other combinations of education and experience may be considered.
