SUPERVISING SITE MANAGER JOB DESCRIPTION

The Supervising Property Manager will be responsible for the day-to-day operations of the property. The Supervising Property Manager is responsible for maintaining a high occupancy level , quality service to the residents, supervision of all other site employees and contractors, and the efficient physical and economic operations of the property.

The Supervising Property Manager will supervise and/or assist in the following areas as necessary:

Leasing
1. Greets prospective Residents coming in to the site office and shows units that are available and/or will be available.
2. Hands out applications and assists applicants as necessary in completing required forms.
3. Oversees screening and processing of applications in accordance with the Resident Selection Plan and the policies and procedures of Tamarack Property Management Co.
4. Monitors completion of all necessary paperwork for residency and continued occupancy according to Tamarack Property Management Co. Policies & Procedures and applicable Programs (HUD, HOME & State) requirements.
5. Coordinates move-in and move-out of residents. Conducts or coordinates the unit i nspection with the resident on or before move-in and after move-out, including orientating the new resident as to the operation of the appliances, utilities, the common area facilities and area agencies that may assist them. Ensures the new residents have received and understand the Lease requirements, Resident Handbook and other policies outlining the rules and regulations of the property.
6. Responsible for all advertising and marketing activities. The Supervising Site Advertising and marketing is an important duty which helps the Supervising Site Manager meet the expectation of keeping their occupancy high and their vacancy loss low.
7. Keeps abreast of the housing market. Completes market surveys as assigned.
8. Studies and is responsible for all requirements outlined in the Tamarack Policies and Procedure Manual.
9. Ensures resident files, maintenance logs, inventories and all necessary reporting requirements established by Tamarack Property Management C o. are maintained.

Rent Collections
1. Accepts rent payments during normal office hours and as otherwise scheduled.
2. Issues receipts for all rent payments as they are received.
3. Prepares bank deposit slips and ensures deposits funds daily.
4. Ensures Pay or Quit Notices are sent in a timely manner to delinquent residents and that late charges are assessed as required.
5. Monitors status of delinquent rents and other charges and turns residents unlawfully detaining units over to an attorney.

Resident Relations
1. Maintains a pleasant and business like relationship with all residents.
2. Promotes and assists resident organizations.
3. Organizes resident functions throughout the year, including potluck dinners, holiday parties and barbeques (If the budget permits).

Office
1. Maintains a clean and organized office and orders office supplies.
2. Maintains established office hou rs and additional hours as required to complete necessary tasks.
3. Oversees completion of all required reporting and logs as required by Tamarack Property Management Co.
4. Prepare all invoices for payment in accordance with Tamarack Property Management Co.’s policies and procedures.
5. Use proper telephone and interview etiquette.
6. Reviews/documents/handles all resident concerns, including but not limited to service requests, resident relations and employee relations.
7. Reviews all employee time cards and process payroll according to Tamarack Property Management Co. policies and procedures.
8. Handles and mediates all employees concerns and/or reports to Tamarack Property Management Co. any problems beyond solving at the site level.
9. Hires and terminates employees as approved by Tamarack Property Management Co.
10. Assists in annual budget preparation and monthly financial statement preparation.

Maintenance/Janitori al
1. Reviews completed Service Requests for any requested maintenance, making sure the resident has given permission to enter in their absence or has scheduled a time for the service call.
2. Monitors processing of Service Request forms to ensure they are done according to Tamarack Property Management Co.’s policies and procedures.
3. Monitors scheduling of pending Service Request and other routine maintenance.
4. Monitors preventive maintenance and preventive maintenance scheduling. Prepares lists and schedules periodic preventive maintenance with the Maintenance Supervisor.
5. Monitors the Maintenance Supervisor's contracting, purchasing and inventories of maintenance supplies.
6. Reviews all purchases and contracts to assure that Tamarack Property Management Co.'s purchasing and contracting policies and procedures are being followed.
7. Assists with unit turns (painting, cleaning, etc.) and with janitorial duties (cleaning of hallways, l aundry rooms, etc.)

Back up other personnel
1. Must be prepared to perform any required duty if other staff members are not available.
2. The Supervising Property Manager will schedule with the site employees coverage of the property on weekends, holidays and after hours. This coverage will include but is not limited to emergency calls for both building and resident health and safety emergencies and property security. The Supervising Property Manager will schedule appropriate time off during the week for on call employees to assure that unwarranted overtime does not occur (if applicable).

Training
The Supervising Property Manager will be required to attend trainings and seminars relevant to the industry.

  • Fair Housing Training (Required Annually)
  • MBOH Training (Required)
  • TPMC Annual Seminar (Required)

Training may change based on state, federal, and Tamarack requirements.

THIS DESCRIPTION MAY NOT COVER all required duties that fall in the scope of duties of a Site Manager. In the day-to-day operation of an apartment community, many items will occur that are not specifically mention above. These items are included in the duties of the Property Manager. The Owner, Tamarack Property Management Co. and/or it's assigned Property Manager reserve the right to alter, subtract, and/or add to these duties or assign specific work required to assure the proper care and well being of the property and its residents.

Job Type: Full-time
Salary: $13.00 /hour plus Rent Free Unit
