Special Information:
Directly provides clerical support to the facility by maintaining all records and files for female felons. The unit computes all good time earned and establishes eligibility dates for parole and discharge for all female felons; incarcerated at the Montana Women's Prison, in the Intensive Challenge Program (female boot camp), in the Billings Assessment and Sanction Center (BASC), housed at all Montana Pre-release Centers, in the Intensive Supervision Program, and those female felons housed out-of-state serving Montana sentences.

Communicates directly with judges, attorneys, staff, offenders, other agencies, victims, and the general public when questions arise concerning court orders, sentences, disc! harge dates, and parole eligibility dates for female felons.

Work involves reading and interpreting complex legal documents, computation of offender release eligibility dates, data entry, filing, document preparation and processing. Preparing, setting up, and mediating boards and screening committees. Performing various related office support duties as assigned.

Work requires organizational skills, accuracy, completeness, flexibility, timeliness, confidentiality, the ability to multitask, and adherence to policy & procedures.

Duties:
Computate and calculate discharge and parole elibility dates

  • interpret complex legal documents
  • acquire appropriate legal documents, photos, fingerprint cards
  • calculate earned good time
  • requests and tracks warrant checks, and criminal histories
  • follow appropriate Montana statutes, administrative rules, and polices
  • answer questions regarding jail ! time, good time, parole eligibility, discharge dates, and sentencing do! cuments
  • prepares good time calculations for court affadavits
  • responds to attorneys, judge's offices and the Attorney General's office regarding offender sentence and good time
  • clarifies discrepancies
  • calculates discharge and parole eligibility based on term of sentence
  • schedules, coordinates and prepares for offender sentence reviews
  • prepares list of eligible offenders appearing before Board of Pardons and Parole
  • prepares discharge list of eligible offenders
  • distributes lists to staff, and appropriate agencies
  • notifies offenders, Board of Pardon and Parole, staff, law enforcement agencies, courts, and victims of offender eligibility and release dates
  • prepares and distributes Basic Information Sheets (BIS) to staff, boards, prereleases, and appropriate agencies
  • enters and updates data in appropriate computerized offender tracking systems
  • prepares Interstate Agreement o! n Detainers (IAD) forms for offenders whom have out of state detainers
  • prepares letters and distributes to judges, county attorneys, sheriffs, offender file documenting a record of offender movement from the facility
Maintains written and electronic files.

  • organizes files with accuracy & completeness. Receives, reviews, evaluates, and processes documents for inclusion in offender files, maintains and determines disposition of documents and offender files
  • plans and prioritizes work
  • compiles, copies, sorts and files documents
  • proofreads documents and reports
  • composes and types correspondence and letters using a personal computer and upon occasion a typewriter
  • reviews court orders for transport of offenders to insure proper authorization
  • performs record management housekeeping duties on old or outdated files
  • manage, train, and supervise others using materials in the offender fi! les
  • prepares PEN PACKETS(certification Packet)
  • signat! ure registered with the Secretary of States office to perform certain duties
  • cooresponds with state mental hospital on mentally ill that are seving a term.
